Receptionist

FLSA Classification: Non-exempt, year-round position
Reports to: Museum District Campus (MDC) Administrator
Hours: 30 hours weekly, M, W 8:00–2:30, T, Th, F 10:30–5:00

Role Overview

The receptionist is the first “face or voice” of the school and requires a professional, friendly, well-spoken individual who conveys the overall image of the school. The receptionist will be responsible for answering and directing incoming calls, mail distribution, as well as additional clerical duties.

Essential Duties and Responsibilities (including, but not limited to the following):

  • Greets all incoming students, families, and guests respectfully and professionally
  • Answer phone calls in a pleasant, informed manner for the purpose of providing information and creating a good image of the school
  • Respond to admission inquiries, direct callers to our website and/or AAD and provide information
  • Maintain sign-in/sign-out sheets for employees and visitors
  • Maintain sign-in/sign-out and various forms for students
  • Record student attendance in database
  • Maintain clean, organized and clutter-free office
  • Receive, separate, and distribute incoming mail, faxes, or other materials to employees
  • Be aware of school’s security plan and the receptionist’s important role in the plan
  • Maintain orderly binders, files, and records of Front Office forms and information sheets
  • Prepare daily “Today at Post Oak” postings for front entry TV display
  • Provide any additional support with data entry, typing, sorting, filing, and general office tasks

Sick Students and Medicines

  • Call parents as needed
  • Give daily medication to students and record

Required Education and Experience

  • High School diploma or equivalent
  • Three to five years receptionist or administrative experience
  • Previous experience working around adolescents a plus
  • Ability to carry out instructions furnished in written or oral form
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, etc.)
  • Knowledge of Google Docs
  • Ability to communicate effectively with all constituents in a school environment
  • Ability to maintain confidentiality and demonstrate ethical behavior

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This position would require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.

Position Type/Expected Hours of Work

This is a full-time position. Days and hours of work are Monday and Wednesday, 8:00 a.m. to 2:30 p.m., Tuesday, Thursday, Friday, 10:30 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
